1. Information We Collect

Depending on how you use KnowledgeGPT, the service may collect and process the following categories of information:

Account Information

• Email Address & Credentials: Your email address and authentication details required to register, sign in, operate, and secure your account.

User Content

• Uploaded Files: Document files voluntarily uploaded by you to the service.
• Extracted Text & Metadata: Text content, file names, document page numbers, and structural data extracted from your uploaded files for semantic chunking, embedding, indexing, and search retrieval.
• Knowledge Base Data: Workspace titles, descriptions, document associations, and configurations you create within the platform.

AI Interactions

• Queries & Prompts: Questions, search prompts, and instructions you submit to the system.
• Retrieved Context: Contextual document passages retrieved from your indexed Knowledge Bases to formulate responses.
• Generated Outputs & Citations: AI-assisted answers produced in response to your queries, alongside originating document excerpts and source references.

Technical & Operational Information

KnowledgeGPT records standard technical server information strictly necessary to operate the application, maintain service reliability, and secure the platform. This includes:

• HTTP request timestamps
• Internet Protocol (IP) addresses
• Client browser type and user-agent string
• HTTP status codes, request URLs, and error diagnostic logs

KnowledgeGPT does not collect advertising identifiers, device fingerprinting profiles, precise GPS location data, cross-site behavioral tracking, or third-party marketing telemetry.

2. How Information Is Used

We use the information collected exclusively to operate, maintain, and provide the KnowledgeGPT service. Specifically, information is used to:

• Authenticate users and manage account sessions
• Deliver core KnowledgeGPT functionality across web and mobile clients
• Store, organize, and manage your Knowledge Bases and files
• Extract, parse, and index uploaded document text into semantic vectors
• Perform vector search to retrieve document context relevant to your questions
• Process your queries and generate AI-assisted answers grounded in your source documents
• Provide verifiable inline citations pointing back to source files and passages
• Maintain operational security, defend against abusive traffic, and protect user accounts
• Diagnose technical issues, server errors, and performance bottlenecks

Your data is not used for behavioral advertising, commercial profile building, or ad-targeting networks.

3. AI Processing and Service Providers

KnowledgeGPT may use third-party infrastructure and AI service providers to operate the service. When necessary to answer a question or process content, relevant information may be transmitted to those service providers for processing.

Cloud & Server Infrastructure: KnowledgeGPT is hosted on Amazon Web Services (AWS) cloud compute and storage infrastructure. AWS provides container execution, server hosting, and persistent file storage for application operations.

Neither Google nor AWS endorses, certifies, or sponsors KnowledgeGPT. They are utilized strictly as commercial cloud infrastructure and AI processing vendors necessary to deliver the service.

4. Document Storage and Processing

Uploaded documents and derived/indexed information (such as extracted passages and vector embeddings) may be stored on our secure cloud hosting infrastructure for as long as necessary to provide KnowledgeGPT functionality to your account.

User Responsibility: Users are responsible for the documents they upload and should avoid uploading confidential, proprietary, or sensitive materials that they do not possess the authorization, license, or legal right to process.

Data is retained while your user account is active or until you delete specific documents, Knowledge Bases, or request account deletion.

5. Data Sharing

KnowledgeGPT does not sell, rent, or trade users' personal information or document contents to data brokers or third-party advertisers.

Information may be processed by external service providers where strictly necessary to operate KnowledgeGPT (such as cloud hosting providers and AI API providers as outlined in Section 3). We may also disclose information if required by applicable law, lawful subpoena, or government regulation, or to protect the vital security of our users and services.

6. Data Security

We employ reasonable technical and organizational safeguards designed to protect your information against unauthorized access, loss, misuse, or alteration. All data transmission between your client device and KnowledgeGPT is encrypted in transit using standard Transport Layer Security (HTTPS / TLS).

7. User Controls

KnowledgeGPT provides users with direct operational controls within the application:

• Document Deletion: You can remove individual documents from a Knowledge Base where supported in the workspace interface. Removing a document deletes its associated indexing records and embeddings.
• Knowledge Base Deletion: You can delete entire Knowledge Bases where supported in the application.
• Account Deletion: You can request the complete deletion of your KnowledgeGPT account and all associated documents, indexes, and history via our dedicated deletion procedure.

8. Account and Data Deletion

Users who wish to delete their KnowledgeGPT user account and all associated data may submit an account deletion request at:

Upon receiving a verified deletion request, we remove your account credentials, Knowledge Bases, uploaded files, extracted text, vector embeddings, and conversation histories from our active systems, subject to any technical backup rotation or legal compliance retention obligations.

Deletion requests are not instantaneous; each request is reviewed and processed by our administrative team. For security, we may verify that the request originates from the verified account owner prior to processing deletion.

9. Children's Privacy

KnowledgeGPT is a productivity and document intelligence workbench intended for adult researchers, professionals, and students. KnowledgeGPT is not designed or directed specifically toward children. We do not knowingly collect personal information from children. If you believe a child has provided personal information to KnowledgeGPT, please contact us so that we can take appropriate steps to remove such information.

10. AI Disclaimer and Output Verification

AI-generated answers may occasionally be incomplete, outdated, or inaccurate. While KnowledgeGPT employs Retrieval-Augmented Generation (RAG) with source citations to ground answers directly in your uploaded source materials, language models can occasionally misinterpret nuances or summarize passages imperfectly.

Users should always verify important factual assertions, legal clauses, technical parameters, and financial data against the original underlying documents. KnowledgeGPT is not a substitute for professional legal, financial, medical, or engineering advice.

11. Changes to This Policy

We may update this Privacy Policy from time to time as KnowledgeGPT adds new capabilities, updates underlying models, or responds to legal requirements.
